Enquiries directly to Matt: myork@ompt.org Program Manager for One Media Player per Teacher Job description Reports to Executive Director Introduction The Program Manager leads Polder's team of audio-visual trainers. This position is primarily responsible for the management of program and service delivery of the organization: bringing audio-visual services to clients. Reporting to the Executive Director, the Program Manager oversees the daily operation of the organization in regards to its services and programs as delivered by the audio-visual team. Duties and responsibilities Program and services administration 1. To be responsible for all facets of audio-visual programming and service development and delivery, from proposal writing (in conjunction with the development director), through planning, budgeting, implementation, evaluation and report writing. 2. To establish and maintain all client files and documentation in an appropriate and accountable manner according to established standards. 3. To ensure consistency of quality, accountability and high standards in all programs and services - both client support and education. This includes providing team training and developing procedures, models and comprehensive frameworks of delivery. 4. To maintain appropriate fiscal controls to ensure all programs are within the scope of the annual budget. 5. To maintain accurate and complete statistical records for all programs and services on the database, and providing funders with comprehensive details on programs offered. 6. To ensure consistent and meaningful evaluation of all programs and services is carried out in order to assess their impact and success and to make needed changes and improvements as indicated. Management of staff 1. To be responsible for hiring, orientation and ongoing supervision of all audio-visual trainers. 2. To be responsible for the hiring, training, and management of the Program Management Coordinator. 3. To conduct regular performance appraisals with team members, providing constructive feedback and direction as to improvement. 4. To provide positive leadership to all staff, encouraging a team approach, professional attitude and good board - staff relations, always modeling best practices in this regard. Organization Management 1. To assist the Executive Director with the development of the budget and to monitor and be accountable for all program and service expenditures. 2. To monitor and complete appropriate reporting to funders. 3. To advise the board about programs and policies appropriate to our mandate. 4. To be an active participant in the management team, attending meetings regularly and bringing forward issues for discussion and decision. Other related duties 1. To participate on key board committees as appropriate. 2. To participate actively as a representative in collaborative partner networks and in related activities. 3. To identify learning needs for program and service staff, and for the staff as a whole, and assist in providing needed training. Skill, knowledge, education and experience 1. A university degree in audio-visual technology or a combination of relevant education and experience 2. Successful supervisory experience. 3. Good oral and writing communication skills. 4. The Development Director will provide administrative and strategic oversight for Polder's fundraising program. The job includes fund development, information management, financial administration and fiscal reporting while implementing fundraising activities. The Development Director reports directly to and works closely with the Executive Director. Primary Responsibilities: Development Program: Plans, directs and implements a comprehensive development program that generates individual donors, foundation, philanthropic and various artistic and corporate support 1. Directs a fund development program that includes the annual fund plan, foundation and corporate gifts, special events and planned giving 2. Oversees and implements strategies that will grow annual revenue, writes proposals and secures funding from corporate and foundation donors 3. Leads strategies and research to identify, prioritize, cultivate, solicit, recognize and steward all donors and prospects 4. In coordination with Executive Director, builds and sustains relationships with current, new and potential grant-giving organizations and individuals 5. Maintains an accurate grants calendar and transmits this information monthly to the Executive Director 6. Manages individual donor campaigns, including membership renewals and special appeals 7. Works to secure progressive and/or socially responsible business partners for projects and concert tours 8. In coordination with Executive Director, manages a portfolio of major donors and prospects 9. Manages organizational membership database - creates profiles and tracks donors and prospects; and, in coordination with staff, issues email announcements as necessary 10. Develops, markets and implements a planned giving program to ensure Polder's long-term financial health 11. Collaborates with staff and consultants to ensure that publications and website include donor-focused content 12. Assists Executive Director in working with board to enhance development efforts Grantmaking Program - Fund Management: Manages an effective campaign to fund the grantmaking program 1. Manages coordination of fundraising efforts for the program; ensures follow-through on current strategies and anticipates major tasks and deadlines 2. Leads the research, identification, cultivation, solicitation and stewardship of major gifts prospects, with emphasis on foundations 3. Prepares letters, grant proposals and other reports or materials needed for effective cultivation and solicitation of prospects 4. Maintain records for all expenses and administrative fees in relation to the program 5. Provides organizational information and support to all inquiries; provides information on program progress; develops materials and approaches to facilitate work; and follow up with inquiries as needed 6. Collaborates with Executive Director on drafting progress reports on program activity and other external and internal communications related to the program 7. Serves as a representative of the organization before public audiences as requested 8. As needed, works with professional consultants to monitor program progress, plan donor cultivation and solicitation tactics, develop marketing and communications strategies, train volunteer solicitors, and recommend action needed to board of advisors and committees to maintain momentum of the fundraising efforts for program 9. Works as part of integrated team to build the assets of the organization and grantees; i.e. this position will be made available as a fundraising resource to grantees 10. Builds fundraising capacity of grantees Communications: Works with staff, consultants, and board to ensure strong communications across all program areas to strengthen overall effectiveness 1. Collaborates with staff, consultants, board and grantees to gather stories and statistics that demonstrate the organization's work of grantees and donors 2. Along with staff, represents Polder at public events, conferences, workshops and media events. 3. Coordinates public relations activities with Executive Director's schedule. Management: Performs general management responsibilities, including annual plans, budgets, reports, and evaluation and oversight of gift tracking systems 1. Prepares annual development plan to corresponding budget outlining revenue and expenses; monitors progress against goals and produces monthly reports 2. Hires, trains and manages the Development Associate 3.
